Connecting to Waiting Patient: Research Administration Dashboard

Connecting to the purpose – stories from SOM employees: the primary goal of the School of Medicine dean’s office is to make sure that our efforts enable the School’s tri-partite mission of education, research, and clinical care, and benefit the “waiting” patient. It is the patient who is waiting for a cure, the next generation of physicians, or an appointment with a physician who can deliver needed care. An emphasis on process improvement, standard work, problem solving, and data-driven decision making lets us be more efficient and put limited resources where they can best support our mission. Transcription: I've been working as a research administrator at the University of Virginia for 20 years. During that time, I've worked with many of our faculty investigators to help them with the administrative aspects of managing their grant awards. I have seen the large number of administrative tasks our faculty are responsible for close-up. But it still surprised me when I learned that, according to national surveys conducted by the Federal Demonstration Partnership, the administrative burdens placed on faculty who perform research is significant. 42% of the time spent by an average PI was reported to be spent on administrative tasks associated with the research. Currently, for our principal investigators to get answers to their questions, they have to get help from an administrator. The administrator has to spend time running reports. And the result often looks something like this. Every research administrator has probably heard his or her faculty members complain that these tasks decrease their productivity and compromise their ability to do science. The time that it takes me to contact the administrator and find out whether I have sufficient funds to purchase x, y, or z is time that would be much better spent actually performing the research, analyzing data, or writing a manuscript, writing up the next grant to follow on the grant I have. So it's not time well-spent in terms of completing my research. UVA has recognized the problem and is devoting many new resources to try to help. One resource is the Research Administration Dashboard that provides data in a way that is understandable to researchers. Researchers can grasp visual data very quickly. But they struggle with spreadsheets and financial reports. With a dashboard, if they want, they can drill into the details from the summary data to get fast answers to their questions. Research administrators are partners to our faculty. Our job is to take as much administrative burden as we can from them to allow them to do what only they can do-- make breakthrough discoveries and offer hope to the anxiously waiting patient.
