Cal Newport explains how to rescue your team from email overload. Cal gives 3 simple rules to write a company communication plan. Here are some rules for a communication policy. Email is for announcements, non-urgent questions that can be answered with a single reply, or delivering files, etc. Anything requiring back and forth interaction must be done in real-time in office hours, docket clearing meetings, or custom-scheduled meeting (should be rare if you use office hours and docket clearing meetings). Shared documents and folders should be heavily used to collect information that needs to be shared and/or updated by multiple people. You don't need many fancy tools. Just good policies.
