Keeping up with journal entries can be time-consuming, especially when you’re notarizing several documents for a single signer. In these instances, you may be wondering if ditto marks are allowed. If you’re commissioned in California, you’re required to complete a full journal entry. Shorthand or abbreviation of any kind is not allowed. Washington Notaries, on the other hand, have more flexibility. The state allows the use of shorthand so long as you note the type of transaction and the number of documents notarized for an abbreviated journal entry. If your state doesn’t address the use of shorthand or ditto marks, it’s up to you whether you abbreviate journal entries. As a best practice, fill out the first journal entry completely, and then mark the remaining entries on that page. As an alternative to ditto marks and abbreviations, consider using an efficiency stamp. These Notary stamps have pre-printed wording like “Jurat” and come as adjustable date stamps.
