Controlled Documents & Training Database

An overview of a simple, yet powerful database designed to manage your controlled documents, such as Standard Operating Procedures (SOPs) and associated employee training. It helps dietary supplement companies that must be Part 111 compliant organize and maintain their documents. Perfect for small to mid-size companies! It is a Microsoft Access database that runs on MS 2016. Please note, if you don't have MS Access 2016 you can purchase a stand alone copy that simply attaches to your existing MS Office 2016 suite. The documents reside within the database so there’s no need for maintaining hyperlinks or external files. It needs the following information: Employee Info Positions Departments Document Info (Name, Responsible Department, Review Date, Etc.) Training requirements by position and department Networked folder for storing the SOPs It includes the following reports: Table of Contents Expired Documents (have passed their expiry date and need to be reviewed) Review Required (soon to be expired documents) Required Training by Department & Position (all training is assigned by department & position. This way, when employees switch to a new position in a different department you know exactly which SOPs they need to be trained on.) Trainers (names of people/organizations who perform training) Training Log - Self (The system is set up to allow self-training) Training Log - Group (The system is set up to allow group training) Blank training logs Outstanding Training Compares what you should be trained on versus what you have been trained on and gives you the difference. Example: You should be trained on SOP 1 version 1; SOP 2 version 1 and SOP 3 version 4. You have trained on SOP 1 version 1 and SOP 3 version 3. The report would tell you that you need to be trained on SOP 2 version 1 and SOP 3 version 4. Training Performed A record of who has been trained and the specific document they were trained on. Part 111 regulations Controlled Documents chart which summarizes the documents/department and details Current, Outstanding and Soon to be Expired statuses. In addition, it also contains the following filters for quick reference. Controlled Documents (Doc #, Doc Name, Version, Responsible Department, Status, Effective and Review dates, Hyperlink Location) Employee Information (includes the following: #, Name, Title, Position, Department, Facility Location, Status [FTE, PTE, Temp], Activity [Active, Retired]) SOP Participants (person(s) that reviewed, authored, and approved the document) Required Training (Department, Position, Doc #, Doc Name, Hyperlink location) Performed Training (which employees have performed training on specific documents) SOPs per Regulation (which SOPs satisfy specific regulatory requirements) Contact me directly at andyswenson@gmail.com for pricing and availability.
