Verifying a signer’s identity is a key component of a Notary’s duties. While you are not expected to be an expert in telling fake IDs from real ones, these tips will help you to check a signer’s ID to ensure the person in front of you is who they claim to be. This will allow you to check for security features and examine the ID up close. 2. Make sure the ID meets your state’s requirements. Any ID presented to you as a Notary must meet all the requirements of your state’s laws. Some states only permit Notaries to accept certain types of IDs. Other states want IDs to include specific elements and information. 3. Familiarize yourself with common security features on your state’s IDs. Every state includes a number of security features in the IDs they issue. These can include raised printing, holographic images, and watermarks that show up in the light, among many others. 4. If you find a discrepancy between the signer and the ID, look for others. While your signer may have changed their appearance, they may also be someone else entirely. Check the ID for major differences to be sure. People change their appearance over time. If the signer’s hair or weight don’t match the ID, they might NOT be an imposter. But if other traits, such as their height or facial features are different, those could be red flags. 5. Record appropriate details of the ID in your Journal. You should always record the method of identification for every signer. But make sure to follow state law regarding what details should go into the journal entry. But you should not include the signer’s ID number, Social Security number, date of birth or other non-public, personal information unless required by your state’s laws.
