Filmed during IU REDCap Day 2023 - https://go.iu.edu/iu-redcap-day The Participant Enrollment & Recruitment Coordination System (PERCS), developed by the IU Center for Aging Research (IUCAR), Regenstrief Technical Services (RTS), and Center for Biomedical Informatics (CBMI), under the leadership of Dr. Nicole Fowler, is a web-based database and partnering interface for study recruitment coordination. The interface assists study teams in checking recruitment lists for individuals share across lists, individuals enrolled in a study with scientific overlap, and individuals reported as deceased or requesting no contact to another study. PERCS was designed to populate from individual study team REDCap projects. REDCap ETL collects data from disparate REDCap project designs and transforms each study table into a homogenous data format. This format is then copied to the PERCS application database. Within PERCS, the content is further transformed and combined into a single table that stores all patients across studies, with their relevant data. Prior to matching patients, names are normalized to a format of LastName Suffix, FirstName Middle. Matching will only use this name of the patient when matching and performs an Exact Name Match only. No fuzzy name searching or soundex is used. PERCS went live in 2020, and study teams have reported reduced rates of participants enrolled into multiple studies, reduced rates of calls to deceased or uninterested persons, and time savings during recruitment coordination. The team is currently working on a new round of enhancements, including enhanced user access controls, update markers, and the development of REDCap templates to ensure consistency and PERCS compatibility across new studies. This presentation will include a demonstration of PERCS using test data.
