To create a General Ledger (GL) account in SAP, the transaction code (T-code) FS00 is used. Below are the steps to create a GL account using FS00 in SAP. Steps to Create a GL Account in SAP (T-code: FS00) Step 1: Open the FS00 Transaction Log into your SAP system. In the SAP Easy Access screen, enter the transaction code FS00 in the command field and press Enter. Step 2: Enter the Company Code and Chart of Accounts In the Create G/L Account: Initial Screen, you’ll be prompted for two key details: Chart of Accounts (COA): Enter the chart of accounts you want to create the GL account under. Company Code: Enter the company code for which you are creating the GL account. After entering these details, press Enter or click on the green checkmark to proceed. Step 3: Enter the GL Account Number On the Create G/L Account screen, in the field G/L Account, enter the desired GL account number (either manually or by selecting from the number range defined in the system). SAP might suggest a number depending on the number range settings. If you're creating a new GL account under a specific number range, the system will allow you to enter the number directly if the range permits. Step 4: Enter the GL Account Description In the Short Description field, enter a meaningful name or description for the GL account (e.g., "Cash Account" or "Accounts Receivable"). Step 5: Set the Account Group In the Account Group field, select the appropriate account group from the dropdown list. The account group determines the type of GL account (e.g., Assets, Liabilities, Revenue, etc.). Step 6: Assign the Control Data (Optional) Next, the Control Data section appears. In the Account Type field, choose the type of GL account. Common types are P&L account or Balance Sheet account. Field Status Group: You can define which fields are mandatory, optional, or hidden when posting to this GL account. Tax Category: Specify if tax is applicable for the GL account. This field is especially important for accounts used in VAT or sales tax. Step 7: Define the GL Account's Currency Currency: If the GL account is to be used in a specific currency, enter the currency code. Most accounts are in the company code’s local currency, but you can define others if needed. Step 8: Enter the Additional Data (Optional) You can also fill in additional fields like: Reconciliation Account (for sub-ledger accounts like customer/vendor). Cost Center, Profit Center, or Segment fields if you want to associate the account with specific organizational elements. Step 9: Save the GL Account Once you’ve filled in all the required fields, press the Save button (disk icon) to create the GL account. If all the information is correct, SAP will save the GL account and assign it a number (if you didn't manually enter one). A confirmation message will appear, confirming that the GL account has been created successfully. Additional Notes: Authorization: Ensure that you have the appropriate permissions to create or modify GL accounts in your SAP system. Number Range: The GL account number should fall within a valid number range defined for your organization. Account Group: The account group determines key parameters like field status and whether the GL account is for P&L, Balance Sheet, or other classifications. Example of Fields to Fill in FS00 for GL Account Creation: Chart of Accounts: K3 (for example) Company Code: 1000 (your company code) G/L Account: 400001 (number of the GL account you want to create) Short Description: "Sales Revenue" Account Group: P&L Accounts Account Type: P&L Currency: USD
