If you're looking for a more efficient and automated method, you definitely should try Certifier - our certificate generator from Excel or Google Sheets. But if you’re looking for a less automated method involving Microsoft Word, we’re enclosing the whole step-by-step guide below. First, prepare a spreadsheet that contains the recipient name and recipient email information. If your spreadsheet has many columns of unnecessary data, don't worry. Open this spreadsheet in Google Sheets or Excel and download it directly to your computer. You may also have a spreadsheet in Google Sheets where all the values are separated by commas instead of columns. This is usually the case when a recipient list is created in CSV format. To split these values into separate columns, you need to convert this spreadsheet to Microsoft Excel format. To do this, select all the values and click the Data, Split text into columns button. The process is almost the same if you have a spreadsheet in Microsoft Excel. Just select the columns where the values are separated by commas, go to Data and choose the option called Text to Columns. Once it's done in either Google Sheets or Excel and all the values are separated by columns instead of commas, it's high time to download your spreadsheet in Microsoft Excel format. Now it is time to choose a certificate template. If you don’t want to design your certificate template from scratch, check out Certifier’s Microsoft Word certificate templates and choose the one that you prefer the most. Then it's time to customize a chosen certificate template. The next step is to make this certificate template dynamic. So instead of creating separate certificate designs for each recipient, you can transform this certificate template so it can be used later to generate multiple certificates. Then it’s time to merge this template with an Excel spreadsheet. To do that, click Start Mail Merge button and choose the Letters option. Then, you need to upload a list of recipients from your spreadsheet to Microsoft Word, where your certificate template is. Once the list of recipients is uploaded, you need to insert merge fields. Select for example a recipient name field that is written on your certificate and transform it into dynamic merge field by clicking on the button Insert Merge Field. Then select the column that has stored all the names of recipients, and in our case it is a column called Name. Once the dynamic merge field is set, you can preview each generated certificate and see how it will look for the recipient. And then repeat the same action for the other columns on which you want to set the dynamic merge fields to different columns. When it's finished, go to the Merge Range section and select All if you want to create certificates for all of the records in your spreadsheet. The problem is that you will have one file in PDF format with all these certificates in it. So if you want to send multiple certificates at once to each recipient, you would have to do it manually, which would take a lot of your time. This is how you can generate certificates using Microsoft Word.
