Send Thank You’s Nothing warms the heart of your clients, your vendors, your staff and your sponsors than a show of appreciation. An email is great, a handwritten letter is even better, and if a bottle of wine or a box of chocolate comes along with that you’re a hero. A gesture of appreciation can go a long way towards creating a long lasting partnership with your event team. 2. Debrief It is absolutely crucial for you to sit down with your team to debrief the event and ensure that its goals have been met. You should have established which types of post event evaluation metrics are important to your client during the planning process. You should also use your debrief to break down the outcomes of the event as a whole. The touchy feely things, the attendee experience, and whatever feedback the events stakeholders have to share. This is essential for the success of future events. 3. Balance the Budget Now that the event has wrapped up and all of your final bills have come in, it’s time to reconcile your budget. You’ll want to review any change orders or adjustments to your final bills and request any adjustments based on service or delivery. 4. Ask for Feedback Never be afraid to ask for feedback from your attendees. Surveying is a great way to get a glimpse of how their experience went. While positive feedback creates those warm fuzzies we know and love, event planners are really interested in the negative. That constructive criticism helps you identify your events weaknesses and areas you can improve. Every comment matters, and you can make changes to address them. 5. Update Your Website Definitely make sure that you’ve updated your website! It is a marketing portal for next year’s event and nothing screams ehhhh than having all of the old event information posted to your page. You should be able to hide pages that are irrelevant on your website from last years event, and if you’re using a tool like MeetingHand, a lot of that content can be automated to turn over the minute your attendees head home. 6. Relax Do you have a post event ritual? Mine actually starts the day before - clean the apartment, spotless. Pint of ice cream in the freezer, and a bottle of whiskey ready to go - because even if I get home at 4 AM, I know I will be awake for another solid 3 hours. Whatever you do to relax after your event finishes up, it is an absolute must! If you don’t make time for you to unwind post event, you’re going to find yourself headed straight into the next one. In Conclusion There is just a bit more work at the tail end of the event planning process, but it is all just as important as the work you do before the event. Having your post event tasks in order beforehand can help this process move faster and get you to the finish line.
