Hello Friends, In export–import business, documents are as important as the goods you ship. For every shipment you usually need some common papers. These are called “all-time documents” because they are used again and again. Examples are the commercial invoice (details of buyer, seller, price and terms), packing list (what is inside each box or container), bill of lading or airway bill (transport document from shipping line or airline), insurance policy (to cover risk during transit) and certificate of origin (shows which country the goods are from). Customs, banks and logistics partners ask for these for almost every order. There are also “one-time” or occasional documents. These are things like IEC registration from DGFT, export–import licences, registration with export promotion councils, product-specific approvals (for example for food, pharma or chemicals) and long-term contracts or MOUs with buyers and suppliers. You usually make these documents once when you start the business or a new product line, and then only update them when rules change or details need correction. When you clearly understand which papers are required for every shipment and which are one-time compliance documents, your work becomes much smoother. It reduces mistakes, saves time at customs, and helps you give a more professional experience to your overseas buyers and logistics partners.
