Receive folders are actually one of my favorite features of ExaVault. They're a way to let you allow people to upload files right into your account without having to set them up as a user on your account or needing to teach them a whole new piece of software in order to use your account. Today we'll be looking at some different ways that you can give people access to your receive folder. There are a number of business scenarios where it can be helpful to let people send you files that get collected into one spot without needing to go through all the extra user maintenance to get them as a normal user on your system. So some common uses that we've seen, the first big one is online ordering. With online ordering, if you have customers who need to send you documents or pictures or artwork as part of their order, you can collect those as part of the ordering process. Another common situation is application or project proposals. In this case, you have people who you don't yet have a working relationship with so you don't even necessarily know who they are when they're going to send you information. This lets you collect those files and that information at the same time. Also secure file transmission. Sometimes you have customers or clients who need to send you confidential data and they don't want it to travel by email. That is a lot of uses. What are some ways that you can use a receive folder to solve them? One of the very simplest options to let people have access to your receive folder is just to send them the link to the receive folder. Let's say we have a scenario where we need to collect files submitted by customers who have reached out for technical support assistance. They don't want to email the files due to the data that's in them, so we give them a link that they can use to upload the files to us. Here I have a tech support folder and if I take a look at the settings on that folder I can see I have a link and just by giving them this link, either through email or through a direct message. That can let them go to the form that they can use to upload the files that we need to take care of their issue. What if I want to provide that link to people directly from ExaVault instead of sending out my own emails? That is absolutely another option we have on the receive folder an invitation option. A good example here is proposal submissions and let's take a look at the settings on that. One of the tabs in the receive folder settings is the invite tab and you can use this tab to invite people to send you files. It will actually send out an email from ExaVault on your behalf. Are there any ways to let people submit files without having to reach out to them individually? One great option if you don't want to send out individual invitations is to embed the receive form right into your own webpage. So on your receive folder, you have an option to allow embedding and if you've turned this on, you can click to get the code and you just paste this code right into your own webpage and it will automatically include the receive form right in your webpage. How do I know what's the best solution for my business? What you need to do at that point is to think through how you're currently getting that information and decide which option of these is the best fit.
