Use straightforward language to avoid confusion. 2. Include Context Shape the context for the recipient. Provide project details and context to help understanding. 3. Use The Standardized Format Follow the standardized format and templates in your company. Keep formatting consistent for predictability. 4. Be Specific Clearly identify what you want and need. Avoid vague or ambiguous language. 5. Include Additional Documents, Drawings & Sketches Reference drawings, specifications, or attach sketches.
