In our latest payroll showcase, we’re excited to share our state-of-the-art integration between our HR software and our payroll software. An integration that guarantees greater data accuracy and security, easier reporting and enhanced compliance. This webinar was recorded in September 2025. _______________ What’s in this webinar? 🌟 Ciphr's Commitment to Payroll and Future-Proofing Ciphr is committed to future-proofing their payroll technology, which means moving towards true cloud solutions to support modern working environments (hybrid, remote, overseas) [02:26]. A major challenge in payroll is moving data between systems, which Ciphr solves by designing their product to be API by design [02:57]. This removes the need for CSV files and exports by connecting directly to HR, workforce management, finance, and expenses systems [03:49]. The payroll solution features real-time calculation, meaning any data change that impacts an employee's pay slip updates instantly, keeping the payroll in a constant state of readiness [04:07]. 🛠️ Product Journey and Roadmap Ciphr acquired Shape Payroll in May 2024, invested in mid-market functionality, and rebranded it as Ciphr Payroll in February [05:02]. The HR and payroll integration is launching this month, described as a "beautifully designed" solution to control data flow, preventing issues like HR having to impose cut-off dates or manually entering last-minute changes [05:44]. Development Roadmap highlights: Finalising mid-market features like back pay and average holiday pay [08:15]. Finalising the payment side of the integration [08:40]. Integrating with CIPP's Quick Learn short courses [08:53]. Planned integration for the absence module (sickness, parental leave) to round off HR and payroll data passing [09:23]. Future considerations include benefits platform integration (HR, payroll, and benefits), pencing of payrolls, and holiday pay approvals [10:33]. 💻 HR and Payroll Integration Demo Highlights The demo showcased the user control over the synchronisation process: Synchronisation Control: The payroll manager can pause the synchronisation between HR and payroll [13:15]. This prevents real-time changes from disrupting report checking and reconciliation while still allowing HR to continue their usual work (new starters, salary updates) [13:43]. Selective Synchronisation: The manager can view paused changes and force synchronisation for individual transactions (e.g., an urgent salary change) [15:08]. New Starter Process: Adding a new starter in Ciphr HR and selecting their payroll group [16:34] immediately makes them an eligible employee [17:37]. Synchronising this change creates the payroll record instantly in the Ciphr Payroll software, with gross and net pay calculated automatically [19:03]. Mid-Month Changes: A salary increase effective mid-month is handled by the system, which calculates the pro-rata pay based on the mid-month change date and the set 260-day method [21:19]. Configurability: The payroll software allows managers to set up: Pay element settings for things like rolled-up holiday pay (determining the percentage and where it drops) or 52-week average holiday pay calculation [23:02]. Occupational Sick Pay (OSP) schemes with multiple service breaks, automating the calculation of full and half pay days [25:38]. ❓ Q&A and Implementation Ciphr is working on the next phase for Public Sector Pensions and returns (NHS, LGPS, TPS, civil service), including the ability to flag pensionable and non-pensionable hours [31:16]. They are looking into enhancing Gender Pay Gap reporting for April of next year, noting the difficulty of this when HR and payroll systems are separate [32:47]. The implementation process for moving to Ciphr Payroll includes two parallel runs to ensure confidence for go-live, and their team can extract historical data from a customer's current payroll system [35:21].
